Tenant relations

Tenant Relations is the most critical item most landlords DO NOT want to deal with

Leasing & Tenant Procurement

We lease all of our properties in house, through a number of avenues:

MLS: We post all our properties on the local MLS. We seek to find our own tenants, however, we will cooperate with other brokerages, should they bring a qualified tenant.

Rental Websites: Utilizing a service called Rhenti, we post our rentals on: Zillow, Viewit, Cam hotpads, Pad Mapper, Zumper, PropertyGuys, Kijiji, Apartmentlove, and Facebook marketplace to source our own leads.

Screening: We believe in the importance of AAA+ tenants, and apply intensive screening. Using new, cutting edge reporting, delivered by SingleKey, we run tenant’s credit, require employment letters, pay stubs, employment and landlord references and make every attempt to personally meet and screen applicants when they come in front outside agencies.

Tenant response

Using our online portal, Buildium, tenants can submit maintenance requests. We find that tenants, once they establish a rapport with our Property Management team, often tend to send a text, or a call, which is suitable, however if they do, we input and track all maintenance items in the system.

Rent collection

Using our online portal, Buildium, we collect rent. This system makes it easy for tenants, manager and the landlord alike, and notifies all parties when a rent payment is missed.

Evictions

While we hope to avoid this, when problematic tenants arise, we utilize the service of a third party Law firm or Paralegal firm to complete filings, and work along their side to deliver the appropriate notices.


Property Care

Caring for your property, as if it is our own, is our number one priority.

Property Maintenance

We have an expensive network of vendors we rely on for everything involved in caring for a property.

Repair: Plumbing, HVAC/Mechanical, Appliance Repair, Roofing, Garbage Removal, Electrical, Doors & Windows, Overhead Doors, Pest Control, Mold Inspection & Removal etc.

Maintenance: Common Space Cleaning, Snow Removal, Landscaping & Lawn Care, Arborist & Tree Services  

Unit turnover

When turning over a unit, we can facilitate repairs to the unit, only if deemed necessary to re-rent:

Patching & Painting: we work with various sub-contractors who work quickly, professionally and in a cost-effective manor to get a property turned over.  

Cleaning: We work with a number of different cleaning organizations depending on the needs.

inspections

We conduct scheduled, usually bi-weekly inspections of all properties looking for anything out of the ordinary and to ensure our vendors are properly maintaining the property.


Financial administration

Financial administration for our clients includes such items as:

  • Rent Collection: Our online portal makes rent collection simple and gives allows oversight by the Landlord when payments have been missed. In the click of a button you can pull the rent roll, operating statements and other such financials.

  • Bill Payments: Our team will pay bills and deal with trades so you don't need to. All invoices are stores in our system and can be quickly replicated at the click of a button. Generally, we maintain a "property reserve" so that there is rarely a case where the Landlord needs to send us payments.

  • Financial Reporting: We provide your book keeper or accounting staff with access to our system so they can quickly pull reports, operating statements, rent rolls etc.
